Hi everyone,

I'm looking for Beta Testers for a new addin. It's a combination of my Favourites and Template addins, but rolled up together and updated for use with Excel 2007+. Full details of what the add-in does, and the latest download build can be retrieved from the XLG File Tools Add-in (http://www.excelguru.ca/content.php?254-XLG-File-Tools-Add-in) page.

In order to test, you MUST be using Excel 2007 or higher.

To install, go to your Office (2007) or File (2010) menu and go to Options-->Addins-->Go-->Browse and select the addin file (attached). It will add a new File Tools tab, and create a database in the same path that you store the addin. From there, you can use "Manage Favourites" to add favourite files and folders. (And yes, you can also add non-Excel files to your favourites menu).

Beyond that, have a play through the different options and let me know what you think. (Feedback good or bad is appreciated.)

Does the menu refresh every time it loads the files?

Needs a PDF icon. Like that it opens most apps.

Did get a file exception. I have that fixed now in my addin. Snagit bailed so no screenshot next time it happens.

Otherwise so far so good.

File order dropdowns - filenames first then folders is that controlled by XML/vba as mine swapped to be Folders then File Names - just asking?

Revised version attached. File Tools tab will now be activated when all workboks have been closed (but application is still alive.)


Is there a 999 limit on files also?
Honestly, I haven't checked. It will be limited by the amount of XML characters I can post to a string to enumerate the dynamic menus. I've had it up over 50 files, but honestly, I've never considered really going about that as it would be kind of a monster to find things after a while...

Depends on the menu. The recent folders/recent files, yes. The favourite folders/files are rebuilt when the application is opened, and every time the "Manage" panels are closed.

Great, thanks. If you check the directory where the addin is installed, you'll also find a log file. It would be handy to see that with the picture.

You should be able to turn on Template Editing mode at any time. It will only affect things when you go to open a template file though. At that point it should open the template in editing mode instead of creating a copy off the template.

My question may be silly but can't one of the databases load the Templates Table dynamically and the Personal Files Table dynamically from the Network path and Personal Files path respectively or is that not a functional idea? It seems to me the continued refresh every time the menu loads is very slow would the database be viable and quicker?

Hi Janine,

What did you do to trigger the parse error above? Were you opening a template file or a favourite? What was the exact path to the file?

Re the continued refresh... the network templates take time to load the first time you click the network templates. The same is true for each subfolder, as they are only enumerated when you expand them the first time. Apart from that, the templates menu shouldn't be refreshing constantly.

I suppose I could put them all into a database as well... I'm just trying to figure out if the gain would be worth it. If it was done when the application was opened, it could slow the application opening down. If it was manual, you could miss updates.

Are you finding the templates very slow to load? I know we did at one point and the issue was actually poor network performance, so was indicative of a bigger problem...

Hi Ken

Forgot to pay attention. Will remember next time. Most probably Template Edit Mode knowing me.
I am in a Time Capsule environment with no Ethernet so it is a little slow. Did say it may be a silly question.
I was just thinking about 999 limit on files with xml that I experience and thought the database loading the files might be an alternative - what can I say I'm thinking outisde the box as usual.
I tend to cheat and use what you call Template Edit Mode to open my documents. Sorry I realise it is Excel based but I do work with txt and csv and vsd files and excel and word so that is why I like to push the boundaries.

Quite enjoy the addin though very useful. May I ask the purpose behind more than one database?
Who is the addin aimed at - any target group in particular?

I feel I am the lone public beta voice - sorry to be such a PITA. I just spout off questions that's what I do and I am quite enjoying your great addin.

You're not being a PITA, I appreciate the feedback. :)

With regards to the database... I run the same laptop at work and at home. So for me I wanted the ability to easily separate my work Favourites from my home ones, as well as from those I use when I teach. I set up my work one as default, which resides on a network drive. When the add-in opens, it looks for that database, and if it can't find it then it fails over to my home one. I set the other one deliberately when I need it.

The main target audience is pretty much anyone who feels that they want more control over the favourites/recent files lists, or just want to get to those files withouth having to jump to the Office/File menus.

Hi Ken

In Template Edit Mode if I open a Network template from dropdown is it possible to make the template's application (Word Visio etc) active instead of Excel or not?

I take back the Word idea - it opens a new instance of Word - I don't want new instances just the document to be the active window. Otherwise I have numerous instances of Word open.

Actually, Janine, that's how it always worked, it just didn't take focus.

When you say you have numerous instances of Word open, you're talking about documents, not program instances (WINWORD.exe) correct?

Yes Ken. Thanks. I popped in a network the other day and it got spat out except for last browse folder it called up the DMS interface. - Nothing wrong with that our network blocks.

Hi Ken. I see you're looking for testers for this app, but note that in this thread you hardly discuss what it does...and the download link resolves in the file itself rather than in the page that explains what the file is for. Can I suggest you amend your original post to cover what it does a bit more, and point your download link for this add-in resolves to the page that explains what it does (Presumably the relevant page is http://www.excelguru.ca/content.php?254-XLG-File-Tools-Add-in )

I'll take it for a spin.

Hi again Ken. Finally had the chance to have a play around, but while the addin seemed to install okay, I'm having a few problems.
For instance, if I go to add a folder to my favorites, as per below:

...then I get an error message "There was an error updating the database", as per the below:

And I also get an error if trying to add the active workbook to the favorites folder:

I haven't tried to reinstall or anything yet.

Any thoughts?

I'm using Excel 2010.

Hi Jeff,

That's weird... it's like it doesn't have the database available to write to. If you go to File Tools-->Manage Favourites-->Manage Favourites Databases do you see a database listed there at all?

So here's a question... would you:
-Ignore this issue
-Code a check in that checks if the addin is running from a zip file
-Use something like InnoSetup to create a distributable exe file

I've always avoided the last, as that has the possibility of prohibting some users from being able to install without IT help. And the second never occured to me until you brought it up. :)

I guess the 2nd one is the way to go. To tell you the truth, I often have problems just installing add-ins, let alone programming them. I install them so infrequently, that I forget exactly what the heck I'm supposed to be doing.

I can't seem to get your addin pointing to the right place. The addi-in is certainly saved somewhere it should be:

I don't know why the database is in the temp file. I tried uninstalling and reinstalling the addin, launching it via explorer, overwriting the path specified in your addin, but either it simply doesn't work or I'm an even lower common denominator than I thought.

Maybe we could skype, and I could share my desktop with you so we could walk through it together? Skype ID is JeffreyWeir.

Hi Jeff,

Try this...

-Go to File Tools-->Configure Options-->Options
-Click Clear Database List
-Click Done
-Restart Excel

I think what's happened is that you installed it from the zip file first. It automatically creates a database in the same folder as the addin location and puts that in the registry. By clearing the list, then re-opening Excel (or unloading/reloading the addin) it should fix it for you.

Hi Ken. I did all that, and the addin is now pointing towards C:\Program Files (x86)\Microsoft Office\Office14\ADDINS\XLGFileTools-Jeff.accdb but there is no such database in that folder. I even tried uninstalling the addin, deleting it off my system, downloading a new one, then reinstalling, but it just doesn't seem to create that database. Any thoughts?

Hi Jeff,

Let's try clearing this thing out completely...

Close Excel
Delete the Add-in from wherever you saved it
Delete any database copies that you find as well
Open Excel and let it "Remove the add-in from the list" when prompted (you may have to go to the add-ins dialog to trigger that.)
Close Excel
Re-open Excel to confirm that it is really gone
Close Excel


Now, let's also go and gong all the registry keys too, just to be safe. Standard caveats apply to registry edits... delete anything else at your own risk!

Press Windows+R to bring up the Run dialog
Type regedit and press enter
Browse to HKey_Current_User\Software\VB and VBA Program Settings\Excelguru
Delete the entire FileTools folder


Once that's done, download a new copy of the add-in and save it in a data directory somewhere... say in "My Documents\Excelguru" or something. I'd avoid any of the systems directories. Then

Open Excel
Go to the add-ins dialog
Browse to the add-in in the directory you saved it in
If it asks if you want to copy it, I'd say no. (Just run it from where it is, and this makes it easy to find your database.)

Hi Ken,

I installed 'XLGFileTools.xlam', basically it works. A problem occures, when I try to enter a break in 'Manage Favourites Folder".
Info: "There was an error updating the database"
Excel 2007, no DB Access installed - is this causing the problem?

Really love the Add-in I'm all about making my work time more efficient, and for me this toolbar will definitely help ( for me at least:)) . So far have not had any issues , but i will post any i run across . Thanks

Ken,

noticed some errors popping in the error log when i am working in Managing Favourites. Everyrthing works fine just thought you might want to know about the errors getting generated.

It's taken way too long, but I finally sat down and worked through some of the known bugs that you guys brought up and a bunch more that I found over the past few months.

Tommy, you may want to delete the old error log before you give this a go. :)

Aldus, not sure on the database question. I've tried to repro your issue here and I can't. So if you're still using it and encounter the issue again, please let me know.

Hi Ken,

As my first post is not online I repost it !
In fact after using with happiness for few years your XLG Favourite add'in, I downloaded last week your Files Tools add'in and I faced some issues.
Indeed as I can add a file from the menu "Manage Favourite File", I am not able to open this file from the menu "Favourite Files" : Although the file is present in the list, its selection does not work.
In the same way, "Add active file to favourites menu" seems not to work.
I don't know if I am the only user to experience this bug perhaps due to my French version of XL ?

Love this add-in however after installing and quitting Excel, when re-opening the add-in tab isn't in the ribbon. Upon further confirmation when you go to the Add-ins screen under settings, XLG File Tools shows up under "Active" but the ribbon didn't load it. The only way to fix this is to disable the add-in and then apply/close. Then revisit the options and re-enable it. This resolves the issue.

The add in for my computer is in the %AppData%\Microsoft\AddIns\ folder and i'm using Office Professional Plus, Excel 2013. I don't have Admin rights however (shouldn't matter) and the addin does retain all other preferences when re-loaded. I have numerous other addins that load just fine including a custom one I built so security permissions shouldn't be the issue. I'm not receiving any error msgbox's or anything to indicate there is an issue. The ribbon just doesn't persist on opening excel...

Option 2 worked like a charm. Unfortunately I couldn't setup the Trusted Location solution as Admin rights didn't afford me that flexibility.
